Your role

As a Sales Administrator, you will provide our clients customers and company sales staff with the best possible administrative support.

Key responsibilities and accountabilities:

  • Handle all ad bookings and typesets, liaising directly with the client to process the booking and answer any customer service issues, regarding the booking process, that arise.
  • Track advertising materials and ensure that all necessary paperwork is complete by the given deadlines
  • Check ad bookings on reports received to ensure that other offices have correctly recorded all ad bookings
  • Monitor status of advertising materials and follow up as necessary to ensure that material arrives on time for scheduled publication; notify the Sales Director if problems arise
  • Produce proforma invoices for any prepay accounts and work with the Finance Department to ensure that payment is made prior to publication
  • Process offline Job board bookings, prepare OC, book in WebOE, track the booking and add credits via the CMS system once payment is confirmed
  • Provide customer service for Science Careers Job Board and update records on a daily basis.
  • Provide job seeker and recruiter support and update online job postings via the job board admin system as required.
  • Work with the sales team and the Finance Department to help resolve the credit status and any collection issues pertaining to our advertisers
  • Answer telephone and written queries as backup to the sales team, and fulfil media pack requests as required.
  • Carry out weekly thank-you packet mailing and other promotional mailings as necessary.
  • Manage the sales database, updating records on a regular basis to ensure accuracy of information.
  • Manage renewal process for Graduate Programmes and Employer Profiles
  • Assist with marketing activities:
  • Liaise with vendors to expedite the printing and mailing of promo pieces
  • Handle any admin associated with Europe based promotional activities,
  • Handle any logistics associated with European based career events
  • Plus other duties, designated as necessary, by the Global Sales Director

Candidate requirements:

  • A strong educational background and relevant working experience
  • Outstanding communication skills both spoken and written
  • Good use of Word, Excel, PowerPoint and Outlook
  • Administrative and secretarial experience
  • Good planning, organisational and time management skills
  • High standard of presentation skills and proof reading
  • A positive attitude and a strong desire to deliver high quality results
  • Able to use good judgement and initiative, particularly in response to the prioritisation of deadline dependent work
  • Able to demonstrate reliability, discretion, confidentiality and flexibility
